Key Responsibilities Administration & Office Support
- Provide day-to-day administrative support to site leaders and operational teams.
- Manage incoming emails, queries, documentation, and communication channels.
- Prepare reports, meeting minutes, rosters, and general correspondence as required.
- Maintain accurate personnel, travel, and operational records.
- Coordinate site travel bookings, flight requests, accommodation, and onboarding.
- Manage urgent travel changes, no-shows, and roster adjustments.
- Ensure compliance with relevant travel policies and safety requirements.
- Assist with site access, inductions, visitor management, and compliance checks.
- Support event planning (e.g., Family Day, team activities, cultural events).
- Coordinate procurement of supplies, PPE, and office resources.
- Liaise with contractors, workforce providers, and internal stakeholders.
- Raise purchase orders, process invoices, and track expenses.
- Support P/A card transactions and reconciliation (where applicable).
- Monitor budgets related to administrative activities and site events.
- Support safety documentation, reporting, and record-keeping.
- Ensure compliance with site protocols and regulatory requirements.
- Assist in maintaining a safe and respectful work environment for all personnel.
- Previous experience in administration, site support, or FIFO operations.
- Strong organisational skills with the ability to manage competing priorities.
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Office Suite (Outlook, Excel, Word, Teams).
- Ability to work independently and collaboratively in a team environment.
- Strong problem-solving ability and attention to detail.
- Experience within the mining or resources sector.
- Knowledge of INX, SAP, FIORI or similar workforce and procurement systems.
- Understanding of roster planning, mobilisation, and site logistics.
- Self-motivated, reliable, and proactive.
- Able to work under pressure and meet deadlines.
- Strong customer service mindset with a focus on supporting operational teams.
- Flexible and adaptable with a positive attitude.
- Committed to maintaining confidentiality and professionalism.
